In short

What is Staffic Windows?

Staffic for Windows is the desktop time tracker your team installs on PCs running Windows 10 or later. Members sign in, pick a project and task, and press Start Tracking. While the timer runs, the app records time, an activity level from keyboard and mouse, and the apps and websites in use, then syncs it all to timesheets and reports. Screenshots start on the Standard plan.

How it works

From install to a filled timesheet

Time tracking for Windows takes the same four steps on every PC in your team.

  1. 01Install the appRun the Staffic installer for Windows. It installs in one click and adds a desktop shortcut.
  2. 02Sign in and pick the workSign in with your Staffic account, then choose a project and task.
  3. 03Start the timerPress Start Tracking. A system notification confirms that tracking started, and another appears when it stops.
  4. 04Review it in the web appEach session syncs to the Daily Timesheet, with the apps, URLs and activity for that time.

Time tracker for Windows

Windows time tracking software for the whole team

What the desktop app records on a Windows PC, and where each record shows up in the web app.

The app records only while a member's timer runs and shows a system notification when tracking starts and when it stops. Every session syncs to the web app in the same form as sessions from the Mac and Linux apps.

  • Windows 10 or later
  • Launch at startup and a dark mode
  • Updates download in the background

Members pick a project and one of their assigned tasks in the app, or add a new task, then press Start Tracking. Each session lands on the Daily Timesheet with its start time, end time and total.

  • Projects and tasks assigned to the member
  • A work note on the running session
  • Daily, weekly and bi-weekly timesheets on every plan
See Daily Timesheet

The Apps page lists every application that ran during a tracked session, Windows Explorer included, and the URLs page lists the sites visited in that session. Admins can switch app or URL tracking off in Settings, Activity.

  • Apps per session, such as Windows Explorer and Slack
  • Websites per session, such as github.com
  • Every plan, including Free
See URLs

The activity level is a percentage worked out from keyboard and mouse input; Staffic keeps the level, not the keys pressed. Fifty seconds or more without input counts as idle, and the app stops tracking after 5 minutes without input or when the PC sleeps or locks.

  • Activity level on every plan
  • Active and neutral time on Standard and Elite
  • Meeting Idle Time Track for calls
See Settings

On Standard and Elite, the app takes screenshots at random minutes while the timer runs: 2 per 10 minutes by default, or 1, 2 or 3 on Elite. A screenshot covers every connected screen, and members see their own in the web app.

  • Project, task and activity level on each capture
  • Kept for 365 days
  • Standard and Elite plans

Control and privacy

Recording follows the member's timer

Staffic on Windows records nothing while a member's timer is off, and members can see their own data.

  • Members start and stop the timer, and Windows shows a notification at each change
  • Admins switch screenshot, app, URL and keyboard and mouse tracking on or off in Settings, Activity
  • Admins can turn tracking off for one member (Standard and Elite)
  • Members see their own screenshots, apps and URLs in the web app
  • Members delete their own screenshots only when an admin allows it (Standard and Elite)

Who it’s for

Who uses Staffic on Windows?

Teams that work on Windows PCs use the desktop app to track time without a separate clock.

Small teams

Start free on Windows PCs

Up to 3 members track time, activity, apps and URLs on the Free plan. Move to Standard when you want screenshots and monthly timesheets.

Remote teams

Home and office PCs in one timesheet

A member who tracks on a home PC and an office PC signs in with the same account on both, so every session lands in one timesheet.

Agencies and studios

Client work sorted by project

Members pick the client project before they start, so hours, apps and screenshots are already grouped by project when you report or bill.

FAQ

Frequently asked questions

Answers about Staffic on Windows.

Read the docs

Is there a free time tracker for Windows?

Yes. The Staffic desktop app is free to download, and the Free plan covers up to 3 members with time on projects and tasks, activity levels, apps and URLs. Screenshots, active and neutral time in timesheets and Clock In/Out start on Standard.

Which versions of Windows does Staffic support?

Windows 10 or later. There's one installer, an .exe from the download page, and the same app runs on every Windows PC in your team.

How do I install the Staffic time tracking app for Windows?

Download the installer from staffic.io/download and run it. It installs in one click and adds a desktop shortcut. Then sign in with your Staffic account, pick a project and task, and press Start Tracking.

What does Staffic record on a Windows PC?

Time on the chosen project and task, plus what your admin turns on: an activity level from keyboard and mouse, the apps in use and the websites visited, and on Standard and Elite, screenshots. Nothing is recorded while the timer is off.

Can Staffic be used as employee monitoring software on Windows?

Yes, as open monitoring of tracked time. Admins see each member's apps, websites and activity level for the hours they tracked, plus screenshots on Standard and Elite, and members see their own. The app shows a notification each time tracking starts or stops.

Does the Windows app work offline?

Yes. The timer and screenshots keep running without a connection. Time and screenshots are saved on the PC and upload when it reconnects.

How does the Windows app update?

On its own. Staffic checks for new versions, downloads them in the background and installs them the next time you quit the app, so nobody reinstalls by hand. Turn on Launch at startup if you want Staffic to open when Windows starts.

How much does it cost to use Windows?

Every plan includes Windows. Free covers up to 3 members. Standard is $5.50 per user per month billed yearly ($1.00 during the current offer, until September 12, 2027) or $7.50 billed monthly, and Elite is $5.80 per user per month billed yearly or $9.80 billed monthly.
