How to Use Remote Track

Review screenshots, application usage, and website activity collected by the Staffic desktop app while members are actively tracking time.

What Remote Track Does

  1. Overview

    Remote Track is your workspace for desktop activity data. It does not replace Timesheets — it adds context to logged hours: what apps and sites were used, optional periodic screenshots, and activity or engagement scores used on the Dashboard and in Reports.

    • When data is collected

      Only while the Staffic desktop tracker is running and the member is on an active time entry (tracking a project and task). Idle time and offline periods follow your organization’s idle and offline rules.

    • Who can view it

      Admins and managers with permission see organization or team data. Members typically see their own Screenshots, Apps, and URLs unless your policy restricts it.

    • Where to configure it

      Admins set organization defaults under Settings (screenshot on/off, frequency, URL logging, delete permissions). Per-member overrides are available under Members for roles that need different rules.

    Install the desktop app from the Download page and sign in with the same account as the web app. Remote Track stays empty until at least one tracked session has synced.

Open Remote Track

  1. Step 1: Open from the sidebar

    Sign in at app.staffic.io, then expand Remote Track under Analyze. Choose one of the sub-pages:

    • Screenshots

      Gallery of images captured on a schedule during tracked time.

    • Apps

      Applications opened while tracking, with time spent per app.

    • URLs

      Websites and domains visited during tracked sessions (when URL logging is enabled).

  2. Step 2: Filter what you see

    On each sub-page, use the date control and member or team filters (where your role allows) to narrow results. Data respects the same organization and permission boundaries as Reports.

  1. Scheduled captures during tracked time

    When screenshots are enabled for a member, Staffic captures their screen at intervals set by your admin — only during active tracking, not when the tracker is stopped or the computer is idle (according to your idle policy).

    • Screenshot frequency

      Organization-wide interval (for example, every N minutes). On eligible plans, admins can set frequency in Settings; Elite includes configurable intervals.

    • Reviewing captures

      Open Remote Track → Screenshots. Browse by date and member. Each image is tied to the project and task active when it was taken.

    • Deleting screenshots

      Members or managers may delete captures where policy allows. Admins can disable delete permission so records are retained for compliance.

    Live Feed → Take Screenshot is for one-off, real-time captures while someone is online now. Remote Track → Screenshots is for automatic, interval-based history.

Apps

  1. Application usage during work

    The Apps page lists desktop applications used while the tracker was running: name, duration, and activity context for the selected period.

    • Typical uses

      Confirm billable work tools (IDE, design, CRM), spot unused licenses, or support coaching conversations with factual usage — not screenshots alone.

    • Dashboard & Reports

      Most Used Apps on the Dashboard and App Usage / App Analytics under Reports roll up the same underlying data with richer filters and exports.

URLs

  1. Website usage during work

    The URLs page shows domains and pages visited during tracked sessions. URL logging must be enabled in Settings for your organization; otherwise this view stays empty even if apps are tracked.

    • What is logged

      Domains and page titles or paths captured by the desktop agent during active tracking — useful for research-heavy roles and reducing non-work browsing when policy requires it.

    • Privacy & policy

      Document which roles require URL tracking. Disable for roles that handle sensitive personal data if your legal team advises it.

    • Dashboard & Reports

      Most Used Websites on the Dashboard and URL-related reports provide aggregated views for managers.

Activity & Engagement

  1. How activity scores work

    Staffic computes activity and engagement from keyboard, mouse, and related signals while tracking (on supported plans). Scores appear on the Dashboard, in Live Feed context, and in Time & Activity reports — they indicate engagement during logged hours, not quality of work.

    • Today's Performance

      Daily activity gauge on the Dashboard for Me or Organization view.

    • Task-level activity

      Percentage on ongoing tasks in the Dashboard and task-wise time logs.

    • Idle time

      When the member is away, idle detection can pause or flag time according to Settings so inactive minutes are not counted as fully productive.

Admin Setup & Permissions

  1. Configure organization defaults

    Go to Settings (admin) to turn Remote Track features on or off for the workspace:

    • Optional screenshots

      Enable or disable screenshot capture organization-wide.

    • Screenshot frequency

      Set how often captures run during active tracking (plan-dependent).

    • Apps & URL usage tracking

      Control whether app and URL data is collected.

    • Screenshot delete permission

      Allow or block members from deleting their own screenshots.

    • Desktop monitoring / per-member tracking

      Turn tracking on or off for individual members when some roles should not be monitored.

  2. Override per member

    Open Members, select a user, and adjust tracking permissions (screenshots, apps, URLs) when one person needs different rules than the org default — for example executives, HR, or contractors.

Tip: Pair Remote Track with Timesheet Approval and Reports → Time & Activity when investigating discrepancies. Use Live Feed only for real-time checks; use Remote Track for historical screenshots and usage patterns.

Tips

  • Remote Track only records while the desktop tracker is running on an active time entry.
  • Tell new hires what is monitored (screenshots, apps, URLs) before their first tracked day.
  • Use Reports → App Analytics and URL reports for exports; Remote Track sub-pages are for day-to-day review.
  • Disable URL or screenshot tracking for roles that handle regulated or personal data when required.
