How to Use Timesheet Approval

Managers accept, reject, or send back submitted timesheets before payroll and invoicing.
Approval workflow
Step 1: Member submits time
After reviewing Daily or Weekly entries, the member submits the timesheet for the period. Submitted sheets are locked for the member unless your policy allows edits after submit.
Timesheet Approval is available on Elite (and plans that include it). Free and Standard may not show the Approval menu — see Pricing.
Step 2: Manager reviews
Approvers open Timesheets → Approval (`/user/timesheet/approval`). Filter by member, team, or period to see pending submissions.
Approve
Accept the sheet — hours count as approved for Payroll and reporting.
Reject
Send back with a reason so the member can fix entries and resubmit.
Weekly time limit
On plans with weekly limits, approval may flag or block sheets that exceed configured caps.
Step 3: Run payroll & billing
Only after approval should finance run Payroll or bill clients from Invoice for that period — reduces disputes and rework.
Tips
- Publish a fixed approval deadline (for example, Monday 10 AM for the prior week).
- Reject with a clear comment pointing to the day or project that needs correction.
- Use Work Notes and Remote Track if you need evidence before approving disputed hours.
