How to Use Timesheets

Review, edit, and submit logged time by day, week, or custom period — then route sheets through approval before payroll and invoicing.

What Timesheets Do

  1. Overview

    Timesheets are the official record of worked hours in Staffic. Time flows in from the desktop tracker (automatic), manual entries, clock in/out, and idle-time handling. Each entry is tied to a project and task so billing, payroll, and reports stay accurate.

    • Automatic tracking

      The desktop app logs time while a member tracks against a project and task. Entries sync to the web timesheet in real time (or after reconnecting offline).

    • Manual time & adjustments

      Members or managers can add or edit entries where policy allows — useful for forgotten timers or on-site work without the app.

    • Idle time

      When the member is away, idle detection can prompt to keep, discard, or split time according to Settings.

    • Clock in / out

      Attendance-style clock events can complement tracked hours where your organization uses shift or attendance features.

Open Timesheets

  1. Step 1: Open from the sidebar

    Sign in at app.staffic.io, then expand Timesheets under Analyze and choose the view that matches your payroll or approval cycle:

    • Daily

      One calendar day at a time — best for fixing yesterday’s entries.

    • Weekly

      Seven-day grid for the running week (Sunday–Saturday) — common for team approvals.

    • Bi-Weekly

      Two-week window for bi-weekly payroll.

    • Monthly

      Full calendar month for month-end billing and payroll.

    • Custom

      Pick any start and end date for audits or partial periods.

    • Work Notes

      Central list of notes attached to time entries.

    • Approval

      Managers review and approve or reject submitted sheets (Elite / enabled plans).

  2. Step 2: Filter whose time you see

    Members see their own timesheet by default. Managers and admins can switch Member (or team filters where available) to review, edit, or approve others’ time. Use Project and Task filters to narrow entries to one client or deliverable.

Common Timesheet Actions

  1. Review and edit entries

    Each row or cell shows project, task, start/end or duration, and activity where tracked. Click an entry to edit duration, reassign project or task, or add a note explaining the work.

    • Add manual time

      Use Add Time (or equivalent) to create an entry when tracking was not running — subject to member permissions in Settings.

    • Delete entries

      Remove mistaken rows where delete permission is allowed. Admins can restrict deletion for compliance.

    • Multiple member view

      On supported plans, managers can open several members side by side or in a combined view for faster reviews.

  2. Submit and approve

    When Timesheet Approval is enabled, members submit a period for manager sign-off. Approvers open Timesheets → Approval to accept, reject, or request changes. Approved time feeds Payroll and client Invoices — always reconcile critical amounts against Reports before paying.

    Set a weekly or bi-weekly approval deadline in your team handbook so payroll and invoicing are never blocked by pending sheets.

Tip: Use Daily to fix small mistakes, Weekly for routine manager review, and Monthly or Custom for client billing. Pair timesheets with Remote Track when you need app, URL, or screenshot context for an entry.

Tips

  • Correct timezone in your profile so daily boundaries match your workday.
  • Add Work Notes on entries that span multiple clients or need approval context.
  • Lock and approve timesheets before running Payroll for the same period.
